Answers before you submit

Getting Started Do I need to sign in to submit or track a request? +
No. Public request submission, appointment booking, and tracking do not require a staff account. The Sign In button is for authorized staff dashboards.
Getting Started Which category should I choose? +
Choose Account Management for DepEd Gmail or Microsoft 365 concerns. Choose ICT Services Request for ID, borrowing, event assistance, technical support, repair, or replacement. Choose Book Appointment for Bulwagang Tanglaw or preventive maintenance schedules.
Submission Why are some fields disabled? +
The form follows a top-to-bottom guided sequence. Complete the active required field first; the next applicable field will then become available.
Submission Why did the form reject my email address? +
Official-account fields require the stated DepEd domain. Personal or recovery email fields must be an accessible external address and must not use @deped.gov.ph when the form says personal email only.
Submission What contact-number format is accepted? +
Use a Philippine mobile number in one of these formats: 09XXXXXXXXX, 639XXXXXXXXX, or +639XXXXXXXXX.
Submission Why do I need an OTP for an ICT Services request? +
When enabled by the administrator, OTP verification confirms that the requester controls the submitted official DepEd email. The code expires and has a limited number of attempts.
Submission Can I submit the same form more than once? +
Avoid repeated submissions. Wait for the confirmation screen and save the tracking number. The system has duplicate and concurrency safeguards, but one accurate request is easier to process.
Tracking Where can I find my tracking number? +
It appears after successful submission and may also be sent by email. Save it immediately. Service requests, Bulwagang Tanglaw bookings, and PMS bookings each receive a reference number.
Tracking How do I check progress? +
Open Track Your Ticket on the landing page, enter the complete tracking number, and select Track. The status timeline shows the latest recorded workflow stage.
Tracking Why has my status not changed yet? +
A status changes only after the responsible unit records an action. Account creation/deletion may wait for HR approval; repair/replacement may wait for Supply receipt; appointments may wait for schedule confirmation.
My Requests What is the My Requests workspace? +
My Requests is a secure self-service workspace for viewing the service requests and appointments associated with your verified email. You can follow their latest status and use the available actions without signing in to a staff account.
My Requests How do I open My Requests? +
Select My Requests on the portal, enter the same email address used when you submitted the request or appointment, then enter the newest 6-digit verification code sent to that address. Access lasts for a limited session, so use Secure Logout when finished.
My Requests Why is a request missing from My Requests? +
Only records associated with the verified email are shown. Use the exact personal, recovery, contact, or official email entered on the original form. If the record still does not appear, track it using its reference number or contact ICT to verify the saved address.
My Requests Can I send a clarification or attachment to staff? +
Yes. Open Messages and clarification under an eligible service request, enter your update, and optionally attach a supported PDF, image, Word, or Excel file. Do not include passwords, OTPs, recovery codes, or other secrets.
My Requests Can I cancel a submitted request or appointment? +
You may cancel a service request while it is still pending and unclaimed, or an appointment while it is pending and not yet reviewed. Once the responsible unit has claimed, reviewed, or processed it, the Cancel action is no longer available.
My Requests Can I change my requested appointment schedule? +
A pending or previously rescheduled appointment can request a new available date and morning or afternoon schedule from My Requests. The updated schedule returns to the responsible unit for review and remains subject to PMS availability, blackout dates, and Bulwagang Tanglaw conflict checks.
My Requests Can I reopen a completed service request? +
A resolved service request may be reopened once within 7 days of resolution. Reopening returns it to Pending for review. The option disappears after the allowed period or after it has already been used.
My Requests How do I download a completion report? +
Open My Requests and select Completion report on an eligible completed service request or appointment. The system downloads a PDF containing the reference, service, requester, final status, completion date, and recorded resolution when available.
Account Management Which requests require HR approval? +
DepEd Email Creation and DepEd Email Deletion are routed to HR first. ICT processing begins after HR approval.
Account Management When does the 30-day deletion period begin? +
For DepEd Email Deletion, the 30-day countdown starts only after HR approves the request. This provides time for required account and file handling.
Account Management How are newly created DepEd Gmail credentials delivered? +
Credentials are not placed directly in email. The requester receives a secure, expiring, single-use access link and verifies the personal email with an OTP before viewing the credentials.
Account Management Why can a newly created DepEd Gmail account not send or receive email yet? +
A related Microsoft account request is automatically forwarded for Central Office creation. Gmail sending and receiving may remain unavailable until Central Office completes the Microsoft account.
Account Management What if my secure credential link expired or was already viewed? +
Contact the ICT Unit or ask the assigned ICT staff to use the authorized credential reissue process. Never ask for credentials through ordinary email or chat.
Appointments How are Bulwagang Tanglaw schedules protected from double booking? +
Pending and confirmed schedule windows are reserved on a first-come, first-served basis. Whole-day bookings occupy both morning and afternoon; a half-day booking leaves the other available if it is still open. Sundays and elapsed time windows are unavailable.
Appointments Why is Preventive Maintenance unavailable? +
PMS is seasonal. It appears only when the administrator opens the annual booking window. Weekends, blackout dates, full capacity slots, and dates outside the active window cannot be selected.
Appointments When is a Bulwagang Tanglaw request completed? +
After Supply confirms the schedule, it remains confirmed until the event schedule has ended. Supply can then mark the booking completed.
Repair and Replacement What happens after I submit a repair or replacement request? +
ICT claims and diagnoses the request, records the action taken and recommendation, then forwards the equipment to Supply. Supply confirms physical receipt, which completes the workflow.
Repair and Replacement What information should I provide for repair or replacement? +
Select the ICT equipment type and describe the fault, symptoms, affected functions, and relevant circumstances clearly. Include the brand, model, property number, or serial number when available, but never include account passwords or access codes.
Repair and Replacement Should I include passwords in the issue description? +
No. Never include passwords, OTPs, temporary credentials, recovery codes, or other secrets in descriptions, notes, attachments, or email replies.
Feedback Why did I receive a service feedback email? +
After an eligible request or appointment is completed, the system may send a one-time survey link to the registered email. It asks for service ratings and optional comments, expires after 14 days, and cannot be submitted more than once.
Tracking Why might staff receive an inactivity reminder? +
When automated reminders are enabled, the system alerts the responsible unit about active requests that have had no recorded activity for the configured period. A reminder does not change your status; it helps staff identify requests that may need follow-up.
Privacy and Safety What information should I prepare before starting? +
Prepare accurate requester and organization details, an accessible email, a valid contact number, and request-specific supporting information. Upload only documents requested by the form.
Privacy and Safety Can I share my tracking or credential link publicly? +
Do not publish tracking references, OTPs, or credential links. Credential links are sensitive, expire automatically, and should only be opened by the intended recipient.
Troubleshooting What should I do if submission fails? +
Read the highlighted validation message, return to the indicated field, and correct it. Check connectivity, avoid refreshing during upload, and retry once. If it still fails, note the exact message and contact ICT.
Troubleshooting What should I do if an expected email does not arrive? +
Check Spam, Junk, Promotions, and mailbox storage. Confirm the submitted address is correct and allow a few minutes. Do not repeatedly submit a new request; contact ICT with the tracking number.
